OBM vs VA vs Project Manager: Which One Does Your Business Actually Need?

If you have been looking into getting support for your business, you have probably come across all three of these titles and felt a bit confused about the difference. They all sound operational. They all seem to involve managing things. But they are quite different roles, and hiring the wrong one for your situation is a common and costly mistake.
What a Virtual Assistant Does
A VA works at the task level. They complete work that you assign to them. This might include inbox management, social media scheduling, data entry, research, formatting documents, booking travel, and similar tasks. A good VA is reliable, attentive to detail, and makes the specific tasks you hand over happen without you having to think about them.
What a VA does not do, in most cases, is think about whether the right tasks are being done, whether the process could be improved, or whether the business is set up properly. They work within the structure you provide.
What a Project Manager Does
A project manager focuses on the delivery of a specific project or set of projects. They manage timelines, coordinate the people involved, track progress, identify blockers, and make sure the project reaches completion on time and within scope. Their focus is the project, not the ongoing operations of the business.
Project managers are excellent for launches, for building something specific, or for keeping a complex deliverable on track. They are not the right fit if what you need is someone to look after the ongoing running of the business.

What an OBM Does
An Online Business Manager operates at the strategic level of business operations. They look at how the business runs as a whole, how the team is functioning, whether the systems are fit for purpose, and what needs to change for the business to grow without breaking. They manage teams, own processes, and are accountable for operational outcomes rather than just task completion.
An OBM brings judgment and strategy to the operational side of your business. They are not waiting to be told what to do. They are thinking proactively about what the business needs.
Which One Do You Need?
If you need help with specific tasks, start with a VA. If you have a specific project that needs managing, bring in a project manager. If you need someone to take ownership of how the business runs, manage your team, and think operationally alongside you, you need an OBM.
Many growing coaching businesses need a combination. Often a VA for task execution and an OBM for operational leadership. But if you are only going to make one hire right now, being clear on which level of support you actually need will save you significant time and money.
